Privacy Policy

Last updated September 17, 2026

CDL Smart App is operated by DriveLine Solutions and provides driver-application, recruiting, hiring-workflow, communication, document, and compliance-support software. This Privacy Policy explains how CDL Smart App processes information when people visit the website, create an account, build or submit a driver profile, use recruiting tools, contact us, or otherwise use the service.

The service is currently designed for United States users and business workflows. Organizations such as motor carriers, recruiting agencies, staffing companies, and independent recruiters may separately determine how they use applicant information. Their privacy obligations and notices are separate from ours. CDL Smart App does not make hiring decisions for those organizations.

Information we collect

Depending on how you use the service, we may process account and contact information; company and organization information; driver-application information; address, employment, education, training, military, accident, violation, and driving-experience history; license and credential information; uploaded documents; application status; communications; billing and subscription records; privacy-request records; and technical information such as browser, device, IP address, security events, and service activity.

Driver profiles may contain sensitive information, including Social Security numbers, driver-license numbers, dates of birth, DOT medical-card information, driving and safety history, and information supplied in connection with employment and compliance workflows. Sensitive identity fields are subject to additional technical and access safeguards.

Sources of information

We receive information directly from users; from organizations and team members using the service; from files and documents a user chooses to upload; from application, messaging, billing, and account activity; from service providers that help us operate the platform; and automatically from browsers, devices, networks, and security systems when the service is used.

How we use information

We use information to create and secure accounts; provide, maintain, and improve the service; save driver profiles at the driver's direction; submit information to organizations selected by the user; support recruiting and hiring workflows; create and manage documents; provide communications and reminders; administer subscriptions; respond to support and privacy requests; detect fraud, abuse, and security incidents; troubleshoot problems; comply with law; and enforce our agreements.

Driver profiles and organizations

A driver controls whether to create and save a CDL Smart App profile and when to submit information through available application workflows. When a driver applies to or shares information with an organization, that organization may receive and retain a copy for its own recruiting, employment, safety, compliance, or recordkeeping purposes. Deleting information from CDL Smart App does not automatically delete copies lawfully retained by an independent organization.

CDL Smart App is a software provider. It is not a consumer reporting agency and does not prepare background reports for employment decisions. Employer-specific background-check, PSP, Clearinghouse, drug-testing, criminal-history, and similar authorizations must be handled separately when required by applicable law or program rules.

Business customer data and processing roles

When a business customer directs CDL Smart App to process applicant or recruiting information for that customer, the customer generally determines the business purpose of that processing and CDL Smart App acts as a service provider or processor to the extent those terms apply under applicable privacy law. CDL Smart App may separately determine how to process account, billing, security, fraud-prevention, support, and service-administration information for its own operational purposes. Our Data Processing Addendum provides additional terms for customer-controlled data.

Technology-assisted features

Some features may use automated or AI-assisted tools to extract information from documents, proofread ordinary text, organize application data, generate recruiting content, or flag information for human review. CDL Smart App does not use those tools to make a hiring decision. We design employment-related review features to avoid making decisions based on protected characteristics or highly sensitive personal traits.

How we disclose information

We may disclose information to organizations a user selects or authorizes; service providers that support hosting, databases, authentication, security, payment processing, email, text messaging, document processing, and AI-assisted features; professional advisers where reasonably necessary; authorities or other parties when required by law or necessary to protect rights, safety, and security; and a successor in connection with a merger, acquisition, financing, or sale of business assets, subject to applicable law.

We do not sell personal information for money. We do not currently sell or share personal information for cross-context behavioral advertising, and we do not currently use personal information for targeted advertising. We do not currently place advertising cookies, social-media advertising pixels, or cross-site behavioral-tracking technologies on the service. If those practices change, we will update this policy and provide choices required by applicable law before beginning those practices where required.

Payments

Paid subscriptions are processed through Square. Payment-card information is handled by the payment provider rather than stored as full card numbers by CDL Smart App. Square may process payment and billing information under its own privacy terms.

Cookies, local storage, and similar technology

The service uses browser storage and similar technology that are necessary or functional for account sessions, security, user preferences, application continuity, PWA functionality, and other requested features. We do not currently use advertising or behavioral-tracking cookies. See our Cookie & Storage Notice for more detail.

Data retention

We retain information only for as long as reasonably necessary for the purposes described in this policy, including providing the service, maintaining security and audit records, meeting legal and recordkeeping obligations, resolving disputes, enforcing agreements, and supporting legitimate business needs. Our Data Retention Schedule explains the current default periods and disposal controls in more detail.

For organization-controlled applications marked unsuccessful or withdrawn, CDL Smart App currently defaults to a 24-month retention period after the most recent status change. Organization owners and administrators may select a longer period within the options provided by the service. Active hired-driver applications are not scheduled for automatic deletion. When an organization marks a hired driver as terminated, CDL Smart schedules the organization's application records for a minimum of 36 months after separation, subject to any longer applicable requirement or legal hold.

A driver's reusable profile and driver-owned uploaded documents are separate from copies already submitted to hiring organizations and are not automatically deleted merely because one organization's retention period expires. A driver may request deletion of CDL Smart-controlled account data, but an independent organization may lawfully retain its own submitted copy.

Ordinary message content is subject to the organization's configured retention period, which defaults to 24 months. After that period, eligible message bodies, subjects, destinations, error details, and free-form metadata are automatically redacted while limited delivery and audit information may remain. Consent and opt-out evidence defaults to a longer 60-month period and may be retained longer when reasonably necessary to demonstrate consent, honor a STOP or suppression request, or resolve a dispute.

Security, legal-acceptance, billing, consent, opt-out, privacy-request, disposition, and audit records may be retained longer where reasonably necessary for legal, contractual, fraud-prevention, security, accounting, or dispute-resolution purposes. Active legal holds suspend automated disposition of covered records. Deleted or redacted information may also remain temporarily in backup systems until normal backup cycles overwrite or expire it.

Security

We use measures designed to protect information, including authenticated access, role-based permissions, row-level database controls, encryption or additional protection for certain sensitive identity data, server-side secrets, access logging, and restricted service-provider access. No online system can guarantee absolute security. Users are responsible for safeguarding credentials and promptly reporting suspected unauthorized access.

Your privacy choices and requests

You may update many account details directly. You may also request access to, correction of, portability of, or deletion of CDL Smart App account data through the Privacy Requests page or by contacting us. We may need to verify identity before completing a request.

Depending on where you live and which privacy law applies, you may have rights to know or access personal information, obtain a portable copy, correct inaccurate information, request deletion, restrict certain sensitive-data uses, opt out of sale, sharing, targeted advertising, or certain profiling, and appeal a denied privacy request. Because CDL Smart App does not currently sell or share personal information for behavioral advertising or use personal information for targeted advertising, there is currently no sale/share/targeted-advertising opt-out to exercise with us.

We will not unlawfully discriminate against a person for exercising an applicable privacy right. Where applicable law permits an authorized agent to submit a request, the agent may contact support@cdlsmartapp.com; we may require proof of authority and may still need to verify the consumer directly.

We may deny or limit a request when permitted or required by law, including where records must be retained for security, fraud prevention, legal claims, billing, or an organization's independent recordkeeping obligations. If a request concerns information controlled by a motor carrier, employer, recruiter, or other customer, we may direct the requester to that organization. If applicable law provides a right to appeal our decision, the requester may reply to the decision or email support and state that they are appealing the privacy-request determination.

California residents and job applicants

California residents may have rights under California privacy law depending on the circumstances and the entity processing their information. CDL Smart App provides an Applicant Privacy Notice describing categories of applicant information and our processing practices. Organizations using CDL Smart App remain responsible for providing any employer-specific Notice at Collection or other notice required of them.

For purposes of our own current practices, we do not sell applicant or account personal information and do not share it for cross-context behavioral advertising. Sensitive personal information is used for the purposes reasonably necessary to provide, secure, and administer the requested service and related lawful workflows.

Communications

Application-related email and text preferences are separate choices. Consent to receive text messages is not a condition of creating a free driver profile. Recipients may withdraw consent or opt out through available methods. Marketing email, if sent, must include legally required identification and opt-out mechanisms. See our Email & Text Messaging Terms.

Children and minors

CDL Smart App is intended for employment and business use by people age 18 or older. We do not knowingly solicit accounts from children under 18. If we learn that we collected information from a minor in a manner not permitted by law, we will take appropriate steps to delete or otherwise address it.

Changes to this policy

We may update this policy as the service, providers, or legal requirements change. The updated date at the top will show when it was most recently revised. Material changes may also be communicated through the service or by email where appropriate. Where law requires renewed consent for a change, we will request it.
